Office Administrator
About sports backers
Sports Backers is a nationally acclaimed 501(c)(3) charitable non-profit organization with a mission to inspire people to live actively. We achieve this mission by hosting events and facilitating programs that encourage people to get moving. Sports Backers is seeking a proactive, detail-oriented individual to help manage the day-to-day operations of our office environment and ensure smooth workflow for staff, vendors, and visitors.
position overview
The Office Administrator will oversee basic office operations and serve as the point of contact for IT, phone services, cleaning services, maintenance, and other office vendor relationships. This role also manages scheduling and operations of the Fitness Room, answers the phone and the general info e-mail, coordinates office upkeep, and ensures the workspace is functional, well-maintained, and professional.
This is a part-time, on-site role (with some flexibility as needed). The ideal candidate is reliable, communicative, tech-savvy, and comfortable juggling multiple tasks and interacting with varied stakeholders.
key responsibilities
Office & Facilities Management
- Serve as the primary liaison with IT providers, phone service, maintenance vendors, cleaning services, and building management
- Serve as the point of contact for facility and office equipment issues, coordinating with vendors as needed for repairs, maintenance or setup as needed
- Oversee general office upkeep: ordering supplies, maintaining inventory, ensuring common areas are tidy
Fitness Room Scheduling & Setup
- Manage reservation system for the Fitness Room
- Prepare the room before bookings (e.g., arrange equipment, ensure cleanliness, check supplies)
- Clean up or reset the room after sessions
- Monitor use of the room to ensure compliance with policies and prevent conflicts
Administrative & Reception Duties
- Manage front office reception duties, including welcoming visitors, directing inquiries, and supporting a positive office experience
- Support an organized and professional office environment by keeping shared spaces (front entry, conference rooms, kitchen, fitness room) orderly and guest-ready
- Answer and route phone calls, take messages and return general voicemail calls
- Manage and respond to customer service e-mail inquiries received through [email protected] in a timely and professional manner, including appropriate routing as needed
- Manage mail and package handling and distribution
- Support administrative tasks as needed, such as scheduling meetings, coordinating catering or refreshments, and performing data entry for administrative, event, and program needs
- Collaborate with team members to anticipate and respond to office and workspace needs
Other Duties
- Support internal office events, such as staff outings, meetings and team building activities
- Provide support with larger Sports Backers events as needed
- Assist with special projects as needed
Qualification & Skill Requirements:
- High school diploma or equivalent; some college or business/office training preferred
- Minimum of 1–2 years of administrative or facilities support experience
- Strong organizational skills, attention to detail, and ability to manage multiple tasks
- Excellent verbal and written communication skills
- Comfort interacting with vendors, customers, negotiating schedules, and coordinating logistics
- Strong technical aptitude and problem-solving skills, including the ability to troubleshoot routine issues, coordinate with IT support, and effectively utilize office technology systems (i.e. phone systems, reservation software, MS Office)
- Self-starter, dependable, proactive in identifying and resolving issues
- Ability to occasionally lift and carry up to 40 pounds (i.e. office supplies, equipment, cases of water) and perform physical tasks associated with office and event operations (i.e. tables and chair set-up, handling deliveries)
Hours & Compensation
- Part-time position averaging approximately 20-25 hours per week
- Compensation: $20–$25 per hour, commensurate with experience
- Standard Work Schedule: 9:00am – 2:00pm, Monday through Friday, with an hour unpaid lunch break (potential for flexible scheduling within the standard office hours of 9am – 5pm)
- This position requires flexibility to work additional hours during event weeks, including evenings and weekends as needed

About Sports Backers
Sports Backers is a nonprofit organization dedicated to inspiring active living and transforming our community through events and programs. We produce nationally recognized events, support youth and adult fitness programs, and advocate for improved infrastructure for biking and walking.
Position Overview
We are seeking a creative, motivated, and detail-oriented Marketing Intern to support our dynamic marketing and communications team. This intern will play a key role in promoting Sports Backers’ events and programs, from campaign launch to hands-on event execution, offering a full-spectrum view of marketing in action. This is a unique opportunity for someone eager to explore multiple facets of the marketing world while contributing to impactful community initiatives.
Key Responsibilities
This internship is designed to provide a well-rounded experience across a variety of marketing functions. Not all responsibilities will be required for every candidate; we’re excited to shape this role to match the interests, skills, and career goals of the right individual. Whether you’re a budding designer, social media strategist, or communications pro, you’ll have the opportunity to grow in a supportive and fast-paced environment.
And of course, no Sports Backers position would be complete without some hands-on event day experience. You’ll see your marketing efforts come to life while helping execute events that energize and engage our community around active living.
Potential Responsibilities may include
Public Relations & Communications
- Draft press materials, media pitches, and event announcements
- Assist in managing our blog through content planning and writing
- Support the production and promotion of our in-house podcast
- Contribute to media outreach and partner communications
Graphic Design
- Design digital and print materials including social media graphics, flyers, signage, and apparel
- Assist with branding for events and campaigns
- Collaborate with staff on creative brainstorming and visual storytelling
Social Media Management
- Participate in content planning and calendar development
- Create and schedule posts across platforms (Instagram, Facebook, TikTok, YouTube, LinkedIn)
- Help monitor engagement and trends, and respond to audience interactions
Email Marketing
- Assist in drafting and formatting emails using platforms such as Pardot
- Manage subscriber lists and segmentation
- Track performance metrics and suggest improvements
Event Promotion & Expo Management
- Help coordinate marketing and branding logistics for expos and races
- Attend events to provide on-site marketing support and gather content
Market Research & Analytics
- Conduct competitor analysis and gather insights from peer organizations
- Monitor media coverage and social mentions of Sports Backers events and programs
- Assist in reporting and analytics to measure marketing impact
Team Collaboration
- Participate in brainstorming, planning, and strategy sessions with the marketing team
- Offer fresh perspective and contribute creative ideas to team campaigns and initiatives
qualifications
- Currently enrolled in, or recently graduated from, a college-level program in Marketing, Communications, Graphic Design, or a related field
- Proficiency in design tools (e.g., Canva, Adobe Creative Suite preferred but not required)
- Strong communication, organizational, and time management skills
- Familiarity with social media platforms and marketing tools (e.g., Hootsuite, Meta Business Suite)
- Passion for active living, community involvement, or event marketing
- Flexible, proactive, and eager to learn in a fast-paced environment

Water stop coordinator Assistant
Overview
The Water Stop Assistant supports the Head Water Stop Coordinators in managing and setting up the hydration and support stations within designated zones of the course. There are a total of 16 water and electrolyte stops, 2 gel stops, 2 wet water cloth stops and 1 pickle juice stop along the marathon, half marathon and 8k routes. The Water Stop Assistant would be responsible for the hydration and support stations within one of the course zones. This role is essential in ensuring that runners stay hydrated and energized throughout the race.
Key Responsibilities:
- Assist the Water Stop Coordinators and other volunteers with the setup and breakdown of the hydration and support stations.
- Help organize and direct volunteers to ensure water, electrolyte drinks, and other items are distributed efficiently to participants.
- Refill water cups, electrolyte drinks and restock supplies as needed.
- Monitor and maintain cleanliness around the water stop area, clearing discarded cups and debris.
- Communicate with race staff as needed to report any issues or request additional supplies.
- Ensure safety protocols are followed, making the stop accessible and safe for all participants.
Requirements:
- Must be 18 years or older.
- Strong organizational and leadership skills to help manage volunteers and tasks effectively.
- Ability to stand for extended periods and perform light physical tasks, such as moving tables or lifting cases of cups.
- Comfortable working in a fast-paced, outdoor environment.
- Positive, team-oriented attitude with a desire to help participants succeed.
