Office Administrator

Sports Backers is a nationally acclaimed 501(c)(3) charitable nonprofit organization with a mission to inspire people to live actively. We achieve this mission by hosting events and facilitating programs that encourage people to get moving. Sports Backers is seeking a proactive, detail-oriented individual to help manage the day-to-day operations of our office environment and ensure smooth workflow for staff, vendors, and visitors.
position overview
The Office Administrator will oversee basic office operations and serve as the point of contact for IT, phone services, cleaning services, maintenance, and other office vendor relationships. This role also manages scheduling and operations of the Fitness Room, answers the phone and the general info email, coordinates office upkeep, and ensures the workspace is functional, well-maintained, and professional.
This is a part-time, on-site role (with some flexibility as needed). The ideal candidate is reliable, communicative, tech-savvy, and comfortable juggling multiple tasks and interacting with varied stakeholders.
key responsibilities
Office & Facilities Management
- Serve as the primary liaison with IT providers, phone service, maintenance vendors, cleaning services, and building management
- Serve as the point of contact for facility and office equipment issues, coordinating with vendors as needed for repairs, maintenance or setup as needed
- Oversee general office upkeep: ordering supplies, maintaining inventory, ensuring common areas are tidy
Fitness Room Scheduling & Setup
- Manage reservation system for the Fitness Room
- Prepare the room before bookings (e.g., arrange equipment, ensure cleanliness, check supplies)
- Clean up or reset the room after sessions
- Monitor use of the room to ensure compliance with policies and prevent conflicts
Administrative & Reception Duties
- Manage front office reception duties, including welcoming visitors, directing inquiries, and supporting a positive office experience
- Support an organized and professional office environment by keeping shared spaces (front entry, conference rooms, kitchen, fitness room) orderly and guest-ready
- Answer and route phone calls, take messages and return general voicemail calls
- Manage and respond to customer service email inquiries received through [email protected] in a timely and professional manner, including appropriate routing as needed
- Manage mail and package handling and distribution
- Support administrative tasks as needed, such as scheduling meetings, coordinating catering or refreshments, and performing data entry for administrative, event, and program needs
- Collaborate with team members to anticipate and respond to office and workspace needs
Other Duties
- Support internal office events, such as staff outings, meetings and team building activities
- Provide support with larger Sports Backers events as needed
- Assist with special projects as needed
Qualification & Skill Requirements:
- High school diploma or equivalent; some college or business/office training preferred
- Minimum of 1–2 years of administrative or facilities support experience
- Strong organizational skills, attention to detail, and ability to manage multiple tasks
- Excellent verbal and written communication skills
- Comfort interacting with vendors, customers, negotiating schedules, and coordinating logistics
- Strong technical aptitude and problem-solving skills, including the ability to troubleshoot routine issues, coordinate with IT support, and effectively utilize office technology systems (i.e. phone systems, reservation software, MS Office)
- Self-starter, dependable, proactive in identifying and resolving issues
- Ability to occasionally lift and carry up to 40 pounds (i.e. office supplies, equipment, cases of water) and perform physical tasks associated with office and event operations (i.e. tables and chair set-up, handling deliveries)
Hours & Compensation
- Part-time position averaging approximately 20-25 hours per week
- Compensation: $20–$25 per hour, commensurate with experience
- Standard Work Schedule: 9:00am – 2:00pm, Monday through Friday, with an hour unpaid lunch break (potential for flexible scheduling within the standard office hours of 9am – 5pm)
- This position requires flexibility to work additional hours during event weeks, including evenings and weekends as needed

Sports Backers is seeking a passionate and dedicated Program Manager to support and strengthen the Fitness Warriors program.
Position overview
The Fitness Warriors Manager is responsible for overseeing the day-to-day operations, coordination, and implementation of the Fitness Warriors program. This role ensures high-quality program delivery, supports volunteer instructors, manages logistics and systems, and strengthens community engagement.
Working closely with the Director, the Manager translates strategic priorities into action—leading program execution while building systems that support sustainable growth and impact.
The ideal candidate will be highly organized, detail-oriented, relationship-focused, and comfortable managing multiple priorities in a fast-paced environment. This person should bring strong project management skills, be comfortable interfacing with a diverse group of people, and have enthusiasm for advancing active living across the Richmond region.
This is a full-time, office-based position located in Richmond, Virginia, with the expectation of being on-site for events and occasional flexibility to work remotely. This role includes evening and weekend work, as well as requires assisting with physical aspects of event set-up.
Key Areas of responsibility:
Program Operations & Execution
- Oversee daily operations of Fitness Warriors classes, trainings, and community events to ensure smooth, consistent program delivery
- Manage program schedules, site coordination, and instructor coverage
- Ensure all classes and activities meet organizational standards for safety, quality, and participant experience
- Troubleshoot day-to-day program challenges and implement timely solutions
- Maintain program materials, equipment, and logistics across multiple sites
Training & Instructor Support
- Coordinate and manage the American Council on Exercise (ACE) cohort process, including applications, onboarding, training logistics, and test preparation
- Support recruitment, interviewing, onboarding, and retention of volunteer Fitness Warriors instructors
- Serve as the primary point of contact for instructors, providing ongoing communication, support, and accountability
- Oversee evaluating instructor performance and participant experience
- Foster a positive, inclusive, and mission-driven instructor culture
Events and Community Engagement
- Plan and execute Fitness Warriors social events, trainings, and recognition activities
- Coordinate instructor and volunteer support for community events and outreach opportunities
- Represent Fitness Warriors at select community events and assist with partnership engagement
- Support logistics for organizational events, including setup and breakdown
- Coordinate with host sites to ensure successful class operations and maintain positive community partnerships.
Administrative & Systems Management
- Track instructor hours and submit payroll information in coordination with Sports Backers Controller
- Maintain accurate program data, attendance tracking, and reporting systems
- Ensure timely reporting of incidents, injuries, and risk management needs
- Track and monitor program expenses that support the overall program budget while identifying opportunities to improve cost efficiency Support budget tracking by monitoring program expenses and identifying efficiencies
- Assist with maintaining website updates and program schedules
Communications & Marketing Support
- Collaborate with the Director and Communications team to ensure accurate and timely promotion of Fitness Warriors classes, events, and program initiatives.
- Gather and create content, including photos, stories, testimonials, and other program highlights, to showcase participant and instructor impact.
- Assist with and/or manage posting to Fitness Warriors social media channels, ensuring content is timely, engaging, and aligned with program messaging and brand standards.
- Maintain consistency of Fitness Warriors messaging across social media, the website, email communications, and other promotional platforms.
- Coordinate with the Director and Communications team on content calendars, campaigns, and promotional priorities.
Leadership & Team Development
- Provide day-to-day leadership and guidance to volunteers and part-time staff of the Fitness Warriors
- Create and implement systems, processes, and tools that improve program efficiency
- Identify opportunities to enhance participant experience and program delivery
- Step into leadership of classes and events as needed
minimum education & Experience Requirements
- Bachelor’s degree preferred or equivalent work experience
- 2–4 years of experience in program coordination, fitness, nonprofit, or community health settings
- Experience supporting or leading group fitness or wellness programs preferred

Water stop coordinator Assistant
Overview
The Water Stop Assistant supports the Head Water Stop Coordinators in managing and setting up the hydration and support stations within designated zones of the course. There are a total of 16 water and electrolyte stops, 2 gel stops, 2 wet water cloth stops, and 1 pickle juice stop along the marathon, half marathon, and 8k routes. The Water Stop Assistant would be responsible for the hydration and support stations within one of the course zones. This role is essential in ensuring that runners stay hydrated and energized throughout the race.
Key Responsibilities:
- Assist the Water Stop Coordinators and other volunteers with the setup and breakdown of the hydration and support stations.
- Help organize and direct volunteers to ensure water, electrolyte drinks, and other items are distributed efficiently to participants.
- Refill water cups, electrolyte drinks and restock supplies as needed.
- Monitor and maintain cleanliness around the water stop area, clearing discarded cups and debris.
- Communicate with race staff as needed to report any issues or request additional supplies.
- Ensure safety protocols are followed, making the stop accessible and safe for all participants.
Requirements:
- Must be 18 years or older.
- Strong organizational and leadership skills to help manage volunteers and tasks effectively.
- Ability to stand for extended periods and perform light physical tasks, such as moving tables or lifting cases of cups.
- Comfortable working in a fast-paced, outdoor environment.
- Positive, team-oriented attitude with a desire to help participants succeed.
